How to fix media out and ribbon out errors

This guide helps you resolve Media Out or Ribbon Out errors on the Zebra ZT230. These errors usually mean the printer can't detect the ribbon or labels — even when they appear to be loaded correctly.

What causes these errors?

• Ribbon or media has actually run out and needs replacing
• Ribbon or media is loaded incorrectly
• Sensors are dirty or need recalibration
• Wrong media type selected in printer settings

Fix 1 — Check and reload the ribbon and media

Step 1 — Open the printer cover

Lift the top cover and visually inspect the ribbon and label roll. If either has run out, replace it following the Load Ribbon and Media guide.

Step 2 — Re-thread if needed

Even if the ribbon and media appear to be present, remove them and re-thread carefully. Make sure the label stock passes cleanly under the printhead and the ribbon is properly attached to both spindles.

Step 3 — Close and press Feed

Close the cover firmly and press the Feed button. If the error clears, you're done.

Fix 2 — Run a manual sensor calibration

If reloading didn't resolve the error, the sensors need recalibrating.

Step 1 — Enter calibration mode

Press and hold Feed + Cancel for 2 seconds to enter the configuration menu.

Step 2 — Select sensor calibration

Scroll to SENSOR CALIBRATION and press Select. The printer will feed several labels automatically to calibrate.

Step 3 — Confirm and test

Once calibration completes, the printer returns to ready state. Press Feed to test — labels should advance without errors.

Fix 3 — Clean the sensors

If the error persists after calibration, the sensors may be dusty or dirty.

1. Power off the printer
2. Use a dry lint-free cloth or cotton swab to gently clean the media sensor (located below the printhead area)
3. Power the printer back on and repeat Fix 2
